A purchasing checklist for school science lab equipment
An equipment list is most useful when it is connected to the activities your teachers plan to run. Before requesting prices, separate new purchases from replacements and record what the school already has. This helps avoid buying incompatible items or duplicating usable equipment.

Build the list around lessons
Ask teachers to identify the experiments and demonstrations they intend to deliver, then record the equipment required for each. Distinguish shared demonstration equipment from sets needed by every group. Note curriculum requirements without assuming that a generic “school lab package” meets them.
Write clear specifications
For each item, include the required function, quantity, suitable dimensions or capacity, and any interfaces it must connect to. Where a manufacturer or model is already specified, state whether alternatives may be considered. For measuring instruments, have the relevant teacher confirm the required range and precision.
Check the complete setup
Ask which accessories, consumables, power supplies, software, and supporting devices are included. Confirm local power compatibility where relevant. Request product documentation and ask about maintenance, replacement parts, and calibration requirements where applicable. Any installation or training requirement should be included in the quotation scope.
Separate procurement from lab approval
A buying checklist does not replace a qualified assessment of laboratory safety, ventilation, storage, electrical provision, or operating procedures. Have the school’s responsible staff review equipment suitability and applicable requirements before purchase and use. Do not assume that buying equipment makes a room ready for laboratory activities.
Ask suppliers to quote on the same basis
Use one schedule with item descriptions and quantities. Ask each supplier to identify the proposed model, exclusions, availability, delivery lead time, and warranty terms. Flag substitutions clearly so teachers can assess them before an order is placed.
